Every movement keeps its reference, owner and reason.

Why it matters

Where the work usually falls through

01

On hand is not available

The shelf count includes parts already promised to another job and units waiting for inspection, so a visit gets booked against stock that cannot be used.

Available is always on hand minus reserved and quarantined stock.

02

Parts disappear into technician kits

Spares are handed over at the counter and nobody can say later which were fitted, which are still in the van and which came back.

Every issue, fit and return is recorded against the ticket and the person holding the part.

03

Defective returns are never closed

Removed parts pile up in a corner, mixed with good stock, and supplier claims are missed.

Defective parts stay in quarantine until inspection and a claim decision are recorded.

How Inventory Management fits together

Each stage hands its work to the next on the same record. Select any module to see what it does.

  1. 01
    Stage 1

    Catalogue, Availability & Allocation

A stock balance only helps when it is the right part, for the right model, in a usable location.

  2. 02
    Stage 2

    Replenishment, Receipts & Returns

Keep shortages, supplier deliveries and defective returns visible until each has a recorded outcome.

  3. 03
    Stage 3

    Stock Accountability & Reporting

Make every adjustment explainable and every service cost traceable to the parts that were used.

Stage 1 · Catalogue, Availability & Allocation

Stock & Service Locations

Separate what is on the shelf from what you can promise.

Stock balances you can trust at every location: central stores, service centres and technician kits.

  • Four numbers, not one: On-hand, reserved, available and quarantine quantities are tracked across central stores, service centres and technician kits.
  • Each location properly described: Bin, unit, reorder level and stock ownership are kept with each location record, so a count or an issue lands in the right place.
  • Scan instead of type: Barcode or QR identification is used to receive and issue the correct SKU, reducing the wrong-part errors that typed codes invite.

Inventory Management: questions teams ask

Yes. Each location or technician kit has its own balance and movement history. Reservations, issues and transfers identify which ticket needs the part and who holds it.

The catalogue links approved part numbers and substitutes to appliance models or revisions. Your parts team maintains those mappings rather than asking technicians to choose from an unqualified stock list.

Unused usable stock is returned and reconciled against the original issue. Defective removed parts follow a separate quarantine and return workflow, linked to the customer ticket and any supplier claim.

Available stock excludes reserved and quarantined quantities. Cancellation or reassignment releases the original reservation through a recorded action.

Yes. Catalogue, warehouse, purchasing and stock-control workflows can run independently. Connect Field Service when you want job reservations and technician consumption to follow the service ticket.
